Job Description Summary
The role of Payroll & Benefits Administrator will be responsible for payroll processing and benefits administration. Primary focus will be on accurate and timely payroll processing, ensuring compliance with relevant regulations, and effective benefits administration. The Payroll & Benefits Administrator is expected to provide exceptional internal service to employees and holds self to an extremely high level of ethical behavior, integrity, and confidentiality, promotes and maintains the company’s mission, values, and culture.
Job Duties and Responsibilities:
• Process weekly payroll, ensuring accuracy and timeliness of payments.
• Prepare timecard file for import into payroll system.
• Maintain payroll records, including new hires, terminations, salary changes, and deductions per Hayward Tyler Record Retention Policy.
• Process and file employee continuing education, wellness, and employee referral reimbursements, and employee service awards.
• Work closely with employees to set up direct deposit account(s), and payroll deductions
• Calculate and process payroll-related taxes, benefits, and other deductions.
• Assist employees with access to the payroll portal and distribute employee paychecks.
• Responsible for W-3 year-end reconciliation, and distribution of W2s, and annual tax statements.
• Stay updated with payroll regulations, tax laws, and compliance requirements to ensure accurate payroll processing.
• Process, reconcile and journal payroll related reports, such as weekly payroll summaries, tax filings, and monthly benefits contributions.
• Administer employee benefits programs, administration includes enrollments, employee changes, terminations, COBRA, open enrollment etc., and other benefits initiatives.
• Administers insurance portals by keeping employee information up to date, such as enrollments, address changes, dependent updates, and employee terminations.
• Responsible for downloading monthly billing statements, reviews for accuracy, reconciles to master enrollment spreadsheet, notes variances, and makes appropriate adjustments, prepares financial coding, and submits online payment.
• Communicate with employees regarding payroll related inquiries, benefits enrollment, and changes.
• Communicate HR policies and benefits.
• Assist in the preparation and submission of statutory reports and filings related to payroll and employee benefits.
• Collaborate with external vendors, such as benefits providers and payroll service providers, to resolve issues and ensure smooth operations.
• Ensure compliance with data protection and confidentiality policies in handling sensitive employee information.
• Stay updated with industry best practices and emerging trends in payroll and benefits management.
• Maintains CTO records such as earnings, usage, balances, journals, schedules, and approvals.
• Onboarding – new employee orientation
• Plan and schedule employee years of service celebrations.
• Maintain employee training records within training software.
• Provide general administrative support to the HR team as needed.

Minimum qualifications:
• High School Diploma, with 2-5 years of experience in payroll processing and benefits administration, AS in Human Resources Management preferred.
• Knowledge of state and federal law and regulations governing pay practices, tax compliance and general employment-related laws.
• Knowledge of multi-state payroll setup and processing.
• Familiarity with Benefits management principles and employee benefits programs.
• Strong attention to detail and accuracy in processing payroll and administering benefits.
• Excellent organizational, communication, multi-tasking, and time management skills to handle multiple payroll cycles and deadlines.
• Knowledge of relevant employment laws, regulations, and data protection requirements.
• Ability to practice extreme confidentiality, professionalism, and highly ethical behavior and act with integrity.
• Proficient in using Office 365 applications, particularly Excel.
• Experience with payroll software, such as Asure Evolution is advantageous.
• Strong problem-solving skills with the ability to identify and resolve issues.
• Detail oriented, organized, and highly motivated.
• Continuous learning mindset to stay updated with changes in payroll and benefits management practices.
